The agent reads from your active controlled library — current versions only, ignoring drafts. Each section becomes its own indexed unit, so the answer comes back narrowed to the paragraphs that actually apply, not whole-document guesses. When a document is re-approved, the index updates as part of the publish flow.
If you can't read it, the agent can't cite it.
The retrieval respects every user's document-level access. A confidential SOP that an operator isn't on the distribution for never appears in their answers, even if it would be the best match. Search results, citations, and source links all honor the same permissions as direct document access.
Citations, not summaries.
The agent doesn't paraphrase your QMS into a vibe. Every claim it makes is anchored to a specific section it can show you.
Anchored to sections
Each cited claim links to a section, not a whole document. Click a chip to open the document scrolled to the cited paragraph — verification takes seconds, not minutes.
Version pinned
Citations record the version that was current at the moment of the answer. Re-asking the same question after a new revision shows what changed and which clause moved.
Honest when it's missing
If the library doesn't cover the question, the agent says so — and offers to file a Gap entry rather than fill the silence with plausible-sounding text.

Open an NCR, an audit finding, or an MOC and start a conversation tied to that record. The agent receives the record's context — the linked documents, the answers given, the evidence — and answers grounded in both the record and the controlled library. Conversations are saved and listed under the record's Linked conversations.

Threads keep their context. Refine, narrow, or pivot — every follow-up benefits from what's already on the canvas. Save a thread to a meeting, attach it to an NCR, or share it with another auditor; the citations come along.

The agent is opt-in, audited, and built so a single click turns it off org-wide if you ever need it gone.
Off by default
Document Agent ships disabled. An admin enables it at Admin → Organization → AI Settings, where it can also be paused at any time.
Bring your own keys
Use the platform AI key included in your contract, or plug in your own — Anthropic for the model and OpenAI for embeddings. Usage is billed direct, no markup.
Zero data retention
Both vendors are configured for zero-retention. Your document content passes through, is used to answer the question, and is not used to train any model.
Full call log
Every agent call is logged with user, time, model, tokens, and the documents that were retrieved. Available in Activity for any compliance review.
